Senior Commercial Loan Documentation Specialist (Finance)



GENERAL SUMMARY (What is done and why)

The Senior Commercial Loan Documentation Specialist is responsible for managing all commercial loan documentation from loan approval through closing of the loan. This includes reviewing approvals to determine conditions that must be met prior to closing and preparing the pre-close checklist; ordering third- party documents and reports as needed; obtaining and verifying all required information; preparing loan closing documents to ensure compliance with all guidelines and regulations; coordinating closings with the Commercial Loan Officer or branch; and providing complete loan files to Commercial Operations for booking, funding, and on-going servicing. . This position is also responsible for creating and maintaining effective relationships with Commercial Loan Officers, Commercial Credit staff, and branch personnel, while keeping them informed and updated during the process, as well as maintaining professional and effective communication with all Credit Union members and third-party vendors.

The Senior Commercial Loan Documentation Specialist typically handles the more complex or detailed loan closings, serves as a mentor to less experienced documentation specialists, and assists or resolves complex problems, issues or questions related to loan documentation with demonstrated ability to make decisions under pressure or time constraints.

ESSENTIAL FUNCTIONS, IN PRIORITY ORDER (Majority of duties, but not meant to be all inclusive or prevent other duties from being assigned as necessary)

  1. Prepare and review all commercial loan documents and supporting documents for completeness, accuracy and regulatory compliance through the use of multiple systems. Time 50%
  2. Prepare and provide to the appropriate Commercial Loan Officer or branch personnel a pre-close checklist after reviewing loan approval. Work with the appropriate loan closer to review and clear all closing conditions. Update and maintain communications with the Commercial Loan Officer or branch personnel throughout the loan closing process. Time 15%
  3. Order and review third- party documents, such as appraisals, title commitments, UCC searches, environmental reports, Certificates of Good Standing, and Flood Certificates. Time 10%
  4. Work with the appropriate Commercial Loan Officer or branch personnel and third-party providers to ensure compliance with third-party lending arrangements such as Small Business Administration loans. Time 5%
  5. Send complete and accurate loan closing document packages to the appropriate Commercial Loan Officer or loan closer in advance of the scheduled loan closing. Time 10%
  6. Ensure signed loan closing document packages are received back from the loan closing, scan and organize them in the credit unions electronic and/or paper filing system, and provide to Commercial Operations for funding, booking, and on-going servicing. Time 10%
  7. Other duties and tasks as requested or assigned Time 5%

Education (Minimum education required to perform the duties of this position)

  • High school diploma or equivalent required.

Experience (Minimum experience required to perform the duties of this position)

In addition to the education requirement:

  • Minimum of five years experience required in commercial loan documentation.

Knowledge, Skills and Abilities (Minimum technical and communication skill levels and licenses/certificates normally required to perform the duties of this position)

  • Thorough understanding of the credit unions loan documentation software
  • Understanding of commercial lending products.
  • Knowledge of commercial lending product requirements, procedures, and underwriting criteria.

Physical Demands (Physical effort generally associated with this position)

Work involves standing and walking for brief periods of time, but most work is done from a seated position. Must have mobility to move throughout the Credit Union as necessary. There is potential for eyestrain from reading the computer screen. Deadlines, workloads and pressure to achieve goals may cause increased stress levels.

Working Conditions (Typical working conditions associated with this type of work and environmental hazards, if any, that may be encountered in performing the duties of this position)

Internal - Work is normally performed in climate-controlled office environment, where exposure to conditions of extreme heat/cold, poor ventilation, fumes and gases is very limited. Noise level is moderate and includes sounds of normal office equipment (computers, telephones, etc). No known environmental hazards are encountered in normal performance of duties. Length of day is unpredictable; long hours may be required to accommodate deadlines or special meetings.

External - Some travel may be required; however, information on environmental conditions is not available.
