Faculty Services Administrator (Finance)



As a Faculty Services Administrator, this position serves as a central resource for faculty-related policies and procedures, ensuring that processes are efficient, transparent, and aligned with institutional standards. This position plays a vital role in supporting faculty throughout all stages of their academic careers, including recruitment, credentialing, internal college onboarding, performance evaluation, promotion, tenure, post-tenure review, sabbaticals, and assignments. This p osition requires a high level of organizational skills, attention to detail, responsibility, confidentiality, and administrative skills. In addition to p roviding comprehensive support to academic programs and faculty committees, fostering a supportive and well-structured environment for faculty success.Minimum Requirements
This position requires a Master's degree in business administration, human resources, liberal arts, or a related field or a Bachelor's degree in those same fields with a minimum of two years of experience.

Preferred Requirements
This position demonstrates excellent written and verbal communication skills. It is expected to conduct duties with a high level of professionalism and accuracy. Three years of experience providing academic support to university graduate programs and working with faculty and faculty committees in the tenure and promotion process.

  • Tracks the progress of faculty towards tenure and/or promotion. Maintains a list of all college faculty, including new hires, and relevant career milestones achieved. Notifies the Associate Dean of Faculty Affairs of faculty eligible for promotion, tenure, mid-tenure review, and post-tenure review. Coordinates with faculty on the preparation of promotion, tenure, mid-tenure review, post-tenure review, and emeritus applications by working with each individual faculty member, gathering information, and preparing the application with the detailed instructions from the Provost's Office. Provides orientation and training to faculty and promotion committee members on using the Faculty Information System (FIS), and related systems, as needed. Coordinates the external review process for tenure and promotion applicants. Oversees faculty tenure and promotion committee tasks and timelines for the college. Provides support to faculty selected for post-tenure review by providing orientation to the process, training in using the FIS and related systems, monitoring timelines, and tracking for compliance with university policy and procedures.
  • Supports academic programs, including credentialing incoming faculty/graduate teaching associates, facilitating course planning, and working with faculty regarding late or missing grades. Coordinates with an internal workgroup of the college's academic scheduler regarding policies and procedures pertaining to templates and timelines of course scheduling and supports faculty with textbook adoptions to ensure compliance. Supports and tracks timelines and deadlines for academic programs, such as course schedules and textbooks.
  • This position works closely with all faculty on their annual assigned duties and evaluations, including entering data, assisting with Archivum submissions, and supporting the scheduling and completion of evaluations. Given strict deadlines, these responsibilities require strong organizational and time management skills. The role also involves interpreting applicable USF policies and procedures to provide guidance on sabbaticals and leaves of absence. In addition, the position oversees the training and implementation of evaluation procedures, prepares evaluation materials, and may serve as the custodian of faculty evaluation records. Also manages correspondence to ensure the college units are promptly notified of faculty appointments and terminations.
  • Supports the college faculty hiring process that may include creating and posting job/visit announcements internally, coordinating travel arrangements and reimbursements for candidates and visitors, scheduling meetings, organizing presentations, assisting with travel bookings and reimbursements, and tracking and processing related expenses, as needed
  • Performs other duties as assigned.
