Office Manager (Finance)



This position is responsible for the operational aspects of academic, fiscal, purchasing, employment and payroll administration for the College of Behavioral and Community Sciences on the Sarasota-Manatee campus. Primary responsibilities include department & faculty administrative support, budget preparation, fiscal review/reconciliation, Foundation funds, purchasing and pcard reconciliation, and travel related duties.MINIMUM:
This position requires a high school diploma or equivalent, with six years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.
6 years of directly relevant experience may be substituted for master's degree.

Performs monthly reconciliations on all accounts

Fulfills purchasing requirements, including researching items and obtaining price quotes, using the university purchasing system, receiving purchase orders, maintaining procurement card information, and reconciling purchases. Arranges and coordinates travel for department staff, faculty, and incoming guests and speakers.

Prepares and monitors payroll for department. Reviews and reconciles payroll registers, and updates pay distribution. Serves as the local point of contact on payroll issues. Provides departmental leave coordinator: oversight, including managing and auditing department leave records. Supports employment and appointment administration

Establishes and maintains systems for administration of academic records for the area, including electronic files, records, and databases. Provides for support of
instruction and student administration. Composes and prepares written documents and correspondence for the office, including memos. letters, presentations, and spreadsheets

Provides specialized administrative and academic support for the college.
