Special Events & Volunteer Coordinator (Park Facilities Coordinator) (Finance)



Riverside County Regional Park and Open-Space District has an exciting opportunity for a Special Events & Volunteer Coordinator. Special Events & Volunteer Coordinator is a working title, the classification the incumbent will be placed in is Park Facilities Coordinator.

The Special Events & Volunteer Coordinator will oversee Special Events and Volunteer Services across the Regional Parks, Nature Centers and Open-Space District. This includes planning and leading special events and managing the District Planning Guide, Outdoor Equity Program, and special event permitting process. The Coordinator will work closely with the District Marketing Team to expand and promote District-wide events. In addition, this position oversees all aspects of the Volunteer Services Program, including episodic volunteers, the Adopt-a-Trail program, camp hosts and caretakers, and volunteer events. The role is hands-on and will require physical labor, including leading event set-up and tear-down, often on Saturdays. Candidates should be comfortable working outdoors in a variety of weather conditions and around animals commonly found in park environments.

The ideal candidate will have experience supervising staff, leading volunteer and special event programs, and be knowledgeable in event permitting and sponsorship outreach. Strong leadership, communication, and organizational skills are essential. Familiarity with ArcGIS, volunteer management software, and maintenance management systems is highly desirable, as is a background in parks and recreation or a closely related field.

The department desires candidates with prior event planning or program planning experience such as those who have a background in community events and volunteer activities. A background in Parks & Recreation or a closely related field is highly desirable. Competitive candidates will possess:

  • A d egree in hospitality, public relations, marketing, communication, business administration, or public administration.
  • Knowledge of permitting processes (e.g., fire and health inspections) and event sponsorship strategies.
  • Proven experience in event planning and program coordination.
  • Experience supervising staff/volunteers.
  • Experience in marketing events (creating flyers and program guides, social media and website updates).
  • Capable of managing a balanced budget for multiple events and programs.

Please note that this position works a 5/40 schedule and d ays off will vary based on event and department needs. This position will be required to work weekends, holidays and evenings on occasion.

The Park Facilities Coordinator (Special Events & Volunteer Coordinator) is a supervisory level classification and reports to an appropriate supervisory or management level position. Incumbents provide supervision to support staff and coordinate and manage facility operations for the Riverside County Regional Park and Open-Space District. Incumbents are further responsible for revenue generation, facility maintenance, contract management, budgets, and various administrative activities associated with assigned facilities.

• Develop and manage facility use agreements with users for special events; oversee regularly scheduled use of facility.

• Develop and implement strategies to increase facility use and generate additional revenue.

• Promote and market facility use for events and activities that are conducive to site amenities.

• Provide technical support and assistance to administrative agencies, County departments, current and potential program operators, and community organizations regarding facility use.

• Manage and coordinate maintenance, janitorial and other service contracts for the services provided to the facility.

• Manage, direct and participate in small maintenance repairs and upgrades at facility; in general, janitorial and cleaning activities at the facility; grounds, landscape and turf maintenance at facility.

• Establish and maintain supply and inventory control system for facility.

• Assist in the preparation and maintenance of a facility budget and the establishment of fiscal controls.

• Write or revise operational procedures, facility use guidelines and training manuals.

• Coordinate security measures to ensure facility assets are maintained.

• Provide basic first aid, as needed.

• Conduct on-site visits during scheduled events and operations to ensure compliance of user groups and security of site assets.

• Develop, coordinate and implement special events and programs to help promote facility and Park District assets.

• Collect fees and payments for facility use.Education: Graduation from an accredited college or university with a bachelor's degree, preferably with a major in hospitality, public relations, marketing, communication, business administration, public administration or a closely related field to the assignment. (Additional qualifying experience may substitute for the required education on the basis of one year of full-time experience equaling 30 semester or 45 quarter units of the required education.)

Experience: Two years of progressively responsible experience in coordinating or managing community events, volunteer programs, public outreach initiatives. Experience in contract management, facility operations, marketing, administrative support where the required knowledge and skills may be obtained may be used for up to one year of the required experience.

Other Requirements:

License: Possession of a valid Class C d river's license is required.

Physical/Environmental Requirements:

  • Must be able to set up and take down items for events including heavy temporary stages, large displays, 10" tables etc.
  • Must be able to provide site tours to perspective customers.
  • Will be exposed to various animals and animal smells (i.e. raccoons, skunks, squirrels, rabbits, etc.)
  • May be required to work in various weather climates.

A standard First-Aid Certificate issued by the American Red Cross must be obtained within six months of employment. Failure to obtain the required certification will result in incumbents being returned to their former County classification or new hires being probationary released.

Knowledge of: The principles and techniques of supervision; basic accounting principles; fiscal and budgetary procedures; efficient office principles and procedures; facility, landscape and grounds maintenance procedures; janitorial procedures; contract management; facility marketing; customer service; special event operations.

Ability to: Supervise subordinates; meet and deal tactfully with the public; communicate effectively in writing and orally; prepare clear and concise reports; establish and maintain effective working relationships; direct staff activities; analyze data and provide recommendations based on analysis; anticipate changing needs, changing schedules and manage the requests of multiple users of the facility; be aware of innovative equipment and techniques to improve facility operations and amenities.This recruitment is open to all applicants.
